1. COLLECTION OF CONFIDENTIAL INFORMATION
Collection of personal information details from customers and their staff.
1.1 Information collected from existing and prospective customers and their staff for contact reasons may be supplied by the customer as a web site enquiry to the Company. Such information is not kept without their knowledge and agreement.
1.1.1 Privacy notice (how we use your information)
Sonic Security Services Ltd keep all of your contact information to enable us to keep up to date records of your enquiry, contact and service details, also when a service is due and detailed information of equipment that we service or replace as applicable for you. Also for the preparation of quotations, contracts and payment details.
1.1.2 Such information is retained by us will only be shared with the following: where Police clearance is required or for a URN (unique reference number) for a security system, a remote monitoring centre for security systems. Only Police approved/NSI accredited monitoring centres are used by Sonic Security Services Ltd. Or a marketing response to such enquiries made to the Company Data Controller.
1.1.3 Such information received from our customers shall be reviewed from time to time in line with new information/decisions of the information Commissionaire, tribunals and courts. Information processes shall also be noted for discussion during the Company Management Review meetings. 2.1 Staff details are kept by the company and are shared between admin and data control. We also use a specialist screen and vetting Company (Staff Vetting) for all our staffing and vetting processes.
2.1.1 Prospective employees shall supply such previous job and work dates etc. for screening and vetting purposes for onward transmission to our specialist vetting Company, who provide data processing on behalf of the Company Data Controller or other designated person as applicable.
2.2 DATA FLOW PROTECTION
2.2.1 Due to the standards dictated through the GDPR and the NSI of which the latter carries out inspections of the Company to ensure compliance with areas of Security and BS/EN Processes. One such area is the screening and vetting process of staff and the monitoring of customer information via our PC management system Mentor Cash.
2.2.2 Information given to Sonic Security Services Ltd from our customers or prospective employees will be kept on file as noted in item 1.1 of the Privacy Notice. Such customer information may be required by a third party monitoring station for their systems surveillance contact. Any supplied customer information shall be in written format on Company documents and emailed to the company for compliance checks prior to onward transmission to the appropriate Alarm Receiving Centre. Such information to be deleted on termination of any agreement between our customer and the Company, after a period of 1 year from such termination.
18.104.22.168 Under no circumstances shall any such information be sold or used by any other party/persons/Company other than those noted in item 1.1 and 2.2.2 as designated by the Company Data Controller.
22.214.171.124 The Data processor shall comply with all aspects of BS for staff screening and vetting. Who shall also give appropriate information to the Company Data Controller on such screening process as applicable when requested.
126.96.36.199 The Company Data controller shall keep appropriate record information of the information flow to and from our Data Processor, customers Police and employees as applicable.
188.8.131.52 The Company Data Controller shall ensure that the Data Processor may only use and disclose such personal data in accordance with the Company Data Controllers instructions. The Data Processor must take appropriate security measures to protect such data and feed back such processes to the Company Data Controller as requested from time to time.
2.2.3 The Company Data Controller shall keep appropriate record information of special security clearance required from various Police Authorities, for both customers and Company staff for security clearance required as applicable.
2.2.4 The Company Data Controller in conjunction with the Company Management Review shall ensure that they are satisfied that any sub-processing will not materially increase the security risk to the data being processed nor adversely effect the rights of the data subjects.
2.2.5 The Company Data Controller shall also inform prospective customers and employees that such information provided to the Company shall be retained by the Company Data Controller for contact information. Such information provided to the Company shall not be used for any control purpose or marketing direct other than to inform such customers of special offers as may be applicable from time to time.
2.2.6 Information collection. Personal data means any information about an individual from which that person can be identified, either directly or in combination with other personal data that we may hold. This may include information such as name, address, email address and telephone numbers. We may also hold technical data about you such a IP address, browser, location and other technology on the devices you use to access our website, services or contact us link.
